Our Process, Your Journey

The care starts with your initial contact (and never stops).


When you’re planning a wedding, you want to know the people behind the scenes truly see you as you are. Not as just another job but as someone preparing for a major (possibly once-in-a-lifetime) event!


At Helping Hands Teardown, we believe that care starts from the moment you contact us, and we intentionally weave it into every stage of our work together. We know how much an event can mean to our customers, and it’s our mission to deliver the highest level of quality and care possible.

Here’s what that journey looks like:


1. Inquiry: Your First “Hello”👋

Whether you’re sending your first message from your phone in between errands or after a late-night Pinterest session, we’re honored to hear from you.


As soon as we are able to get to your inquiry, we’ll send a personal email in response.


Depending on where you are in your planning, we’ll either:

  • Ask for a little more info

  • Let you know that your quote is on the way


You’ll also get an automated email with your quote for easy access. We know how many browser tabs can be open in the planning stage… so we’re here to keep things simple and not add to the overwhelm!


2. Consideration: Take Your Time, We’re Here🫶

Planning a special event involves a mountain of decisions. It involves carefully weighing each option, testing, and checking in with ourselves and our partners. That’s why it’s so important to us to honor our customers with patience and understanding.


If we don’t hear back right away, we’ll follow up gently (up to three times), each time offering helpful links to:


We’re never pushy. We’re here to support you when you’re ready.


3. Invoice: When You’re Feeling Good to Go📄

Once you’re ready to move forward, we’ll send over an invoice:

  • First, a personal email outlining the details.

  • Then, a follow-up from our system so you have everything in writing.


Need to chat or ask questions? We're only ever an email away. We’re all about clear and open communication at every point during this process. 


Nothing hidden in the fine print. No unnecessary complications.


4. Confirmation: You’re Officially Booked!🎉

Once the retainer is paid, your services are locked in, we’re officially on your team.


We’ll send a confirmation email with a warm welcome and a heads-up on what to expect next, including a general timeline to help you feel calm and confident about what’s ahead.


5. Preparation: Getting the Details Just Right

About 2–4 weeks before your event (depending on what services you booked), we’ll send you a link to your Customer Hub.


This is your go-to resource for everything we’ve planned together.


We’ll also send a link to schedule your prep call, which we’ll do no later than one week before the big day. This call is where we get in sync with you, walk through the final details, and answer any last questions.


We want you to feel like everything’s being handled with professionalism, dedication, and care (because it is!).


6. Services: We Show Up So You Can Soak It All In🥂

When your wedding day arrives, you probably won’t see much of us, but you’ll feel the impact.


We work behind the scenes with care, calm, and efficiency. No stress. No guesswork. 


Diligent, extra hands doing the jobs you don’t want to think about, so you can focus on love, laughter, and living in the moment.


After your event, you’ll receive a thank-you email and a gentle request for a review, only if you feel moved to share.
