What A Coordinator Does and Why They Need a Strong Support Team

Whether you’re planning a wedding, corporate event, or private celebration, your coordinator is the one keeping the day on track. They manage the schedule, guide vendors, troubleshoot on the fly, and make sure every element comes together as planned. 


But there’s only so much one person (or even a small team) can handle.

Many of our couples already have a coordinator when they reach out. Despite this, we still often hear the same problem: “We had no idea how much help we’d need on the actual day.” Not a fun surprise! 


That’s where we come in.


While your coordinator manages timelines, guest movement, vendor communications, and inevitable last-minute changes, our team handles the physical tasks, the heavy lifting, and fine-tuning related items that often get underestimated.

These small logistical tasks may seem minor, but they’re often the most time-sensitive and physically demanding parts of the day. And that’s why we want to give them such priority on our end! 


We’re extra hands at exactly the right moments. We work closely with your coordinator, follow their direction, and step in to handle what they don’t have time for. It’s the type of collaboration that makes you feel supported by a team.


As a side note: If you don’t have a coordinator for your event, no worries! We offer day-of coordination services starting at just $50 an hour, with no minimum required.

A Seamless Luxury Wedding in Carlsbad

For a black-tie wedding at a private estate, we worked with an experienced coordinator who had already invested lots of time into planning the couple’s dream day. 


On-site, we worked closely with her to create a spectacular wedding. She handled high-level timeline execution and vendor wrangling while our team tackled layout setup, maintained cleanliness of the venue , and final cleanup.


Throughout the day, we checked in and adjusted as needed. The result? A completely seamless experience that looked—and felt—effortless for the coordinator and couple.
